What is a CRM? A simple definition for coaches

·6 min read

What is a CRM? A CRM (Customer Relationship Management) is software that centralises all the information about your clients and prospects — who they are, where they stand, what they have bought, what you need to do next — so you can follow each person over time without forgetting anything. For a wellness coach or a Herbalife distributor, it is the tool that replaces the mix of spreadsheet, notebook and WhatsApp threads.

What is a CRM: the simple definition

The word brings to mind large companies and their sales teams. Yet the core idea is very simple: one profile per person, and around that profile, everything related to them. Instead of looking for a piece of information in three different places, you open the client's profile and everything is in front of you.

A CRM answers three questions at any moment:

  • Who are my clients and prospects?
  • Where does each of them stand (simple contact, interested, active client, lost touch)?
  • What should I do next, and for whom?

What a CRM stores

In practice, a CRM stores four types of information:

  • Contact details: name, phone, email, how you met.
  • Status: the stage the person has reached in your relationship.
  • History: past appointments, conversations, purchases, notes.
  • Trade-specific data: what is specific to your activity. For a coach, mostly body measurements and how they evolve, and orders.

That last point is the difference between a generic CRM and a CRM built for a trade: the first lets you build everything yourself, the second arrives with the right fields already there.

What is a CRM for?

A CRM is not there to "push numbers". It is there so that nobody falls through the cracks. In a coaching activity, clients rarely drop off all at once: they drift away because nobody followed up at the right time, or because their last measurement or last order was forgotten. A CRM makes these gaps visible before they cost a relationship.

It also frees your mind. As long as follow-up lives in your memory, every new client adds mental load. With a CRM, the follow-up is written down somewhere, and your attention goes to people rather than logistics.

CRM, spreadsheet or messaging app?

Most coaches start with a spreadsheet and WhatsApp. That is normal, and it works at first. Here is what each tool does well, and where it stops:

  • A spreadsheet is flexible and free. But it keeps no readable history, does not tell you whom to follow up, and your clients have no access to it: you copy everything yourself.
  • A messaging app is perfect for talking. But a measurement sent six weeks ago is impossible to find, and nothing is sorted by client.
  • A CRM sorts information by person, keeps the history and shows the stages. It does not replace the conversation: it keeps its memory.

The specific needs of a wellness or Herbalife coach

A coach does not have the same needs as a salesperson. In transformation coaching, clients are often called "challengers", and their follow-up relies on specific elements:

  • Body measurements over time (weight, composition, circumferences), with a chart the client can read.
  • Orders for each client, with their history.
  • Events: group sessions, appointments, challenges that clients sign up for.
  • A client-facing app, so the challenger logs their own measurements and meals instead of sending them to you by message.

A generic CRM can cover the first two points with a lot of configuration. The last one — an app for your clients — is rarely included.

How to choose a CRM as a coach

  1. Start from your daily routine: list what you note today for each client. The right tool already has those fields.
  2. Check client access: can your clients log their own data?
  3. Test with real clients, not a demo. A free plan with no time limit lets you judge on the evidence.
  4. Check the language: the tool and the app must speak your clients' language.
  5. Keep it simple: a tool you open every day beats a complete one you avoid.

How HerbaCRM meets these needs

HerbaCRM is a CRM designed for wellness coaches and Herbalife distributors. In practice:

  • Each contact has a status — Lead, Prospect, Client, Inactive — visible as a list or in a Kanban view, where you drag a card from one column to the next.
  • Measurement tracking keeps each challenger's history and shows it as charts.
  • Your clients get an iOS and Android app to log their measurements and meal photos, and to sign up for your events from the calendar.
  • Orders are linked to each client's profile.
  • Dashboards summarise your activity, in English, French or Spanish.

HerbaCRM is independent of Herbalife and sells no products. You can try it for free with up to 3 clients, no credit card. To see the tool in detail, visit the CRM for Herbalife distributors page.

In summary

A CRM is one profile per client with everything related to them in one place: status, history, trade data, next action. For a coach, the right CRM is the one that already knows your trade — measurements, orders, events, client app — and that you actually want to open every day.
