How coach badges are awarded

Every badge shown on a HerbaCRM coach profile rests on a measurable rule, computed automatically. An earned badge cannot be bought. The only badge tied to a payment is labelled as paid.

Rules last updated:

Three principles

An earned badge cannot be bought

Active, Recently active, Responds quickly and Ambassador are computed from what the coach does. No subscription or paid option grants them or speeds them up.

A paid badge says so

The Subscriber badge means a paid subscription. It carries the word "Paid" everywhere it appears.

A badge can be lost

Every rule looks at a recent period. A coach who drops off loses their badges automatically, with no manual step.

Active

Earned · cannot be bought
What earns it
The coach used the HerbaCRM app (signed in to their coach account) within the last 7 days.
What does not count
  • Their clients' (challengers') activity in the mobile app.
  • Automatic e-mails, payments and technical jobs.
  • The subscription: free and paid accounts are measured the same way.
When it is lost
As soon as the last use is more than 7 days old. The Recently active badge then takes over.

Recently active

Earned · cannot be bought
What earns it
The coach used HerbaCRM within the last 30 days, but not within the last 7 days. The two badges are never shown together.
What does not count
  • Their clients' (challengers') activity.
  • Automatic actions (e-mails, payments).
When it is lost
As soon as the last use is more than 30 days old.

Responds quickly

Earned · cannot be bought
What earns it
The average time between receiving a contact request and the coach's first reply, sent from HerbaCRM, is under 24 hours. It is computed on requests received in the last 90 days and requires at least 3 requests.
What does not count
  • Unanswered requests still within time (under 24 hours): they enter the average as soon as they pass that delay.
  • Requests sent from the coach's own e-mail address.
  • Several requests from one address within 7 days: they count once.
  • Replies given outside HerbaCRM (phone, messaging apps): they cannot be measured.
  • The subscription: this indicator cannot be bought.
When it is lost
When the average goes above 24 hours, or when fewer than 3 requests remain in the period. An ignored request counts with the time elapsed, capped at 168 hours: not replying always costs more than replying late.

Ambassador

Earned · cannot be bought
What earns it
At least 2 coaches directly referred used HerbaCRM themselves in the last 30 days.
What does not count
  • Signups who never use the tool.
  • Commissions earned and the referrals' subscriptions.
When it is lost
When fewer than 2 coaches referred remain active over the last 30 days.

Subscriber

Paid
What earns it
The coach has a current paid HerbaCRM subscription. This badge is paid and shown as such.
What does not count
  • It does not grant, speed up or replace any other badge.
  • It says nothing about the coach's activity or responsiveness.
When it is lost
When the subscription ends or a payment fails.

Frequently asked questions

Can you buy a HerbaCRM badge?

Not Active, Recently active, Responds quickly or Ambassador: they are computed from the coach's real activity. The only badge tied to a payment, Subscriber, is shown with the word "Paid".

Does a paid subscription help earn the other badges?

No. The computation of earned badges never reads the coach's subscription status.

How often are badges updated?

Continuously. App use is recorded at most once an hour, and every badge is re-evaluated when it is displayed: no stale badge stays visible while waiting for a batch run.

What happens if a coach does not answer a request?

After 24 hours without a reply, the request enters the average with the time elapsed (capped at 168 hours). The average rises and the Responds quickly badge can be lost.

Why a minimum of 3 requests?

A single fast reply says nothing about a coach's usual responsiveness. The minimum keeps a badge from being shown on a fluke.
